Terms and Conditions

Go Wild Workshops - Terms and Conditions

Effective from the date of booking and applicable to all Go Wild Workshops sessions from that date onwards.

1. Introduction
1.1 These terms and conditions govern the participation of children in Go Wild Workshops holiday clubs and birthday parties.
 1.2 By booking a place for your child, you agree to these terms and conditions.
 1.3 Go Wild Workshops operates in accordance with UK government guidelines for children’s holiday clubs.

2. Registration
2.1 Parents/carers must complete a registration form when booking, providing correct contact details and any relevant medical information.
 2.2 It is the parent/carer’s responsibility to inform us of any changes to their details or their child’s needs.

3. Bookings and Payments
3.1 Holiday Clubs: All holiday club sessions must be booked in advance. Your child’s place is only guaranteed once full payment has been received.
 3.2 Birthday Parties: A £50 non-refundable deposit is required to secure the booking. The remaining balance must be paid at least two weeks before the party date.
 3.3 Payments can be made via [insert payment methods, e.g., credit/debit card, bank transfer, childcare vouchers].
 3.4 Telephone bookings (excluding birthday parties) will incur a £2.50 administration fee.

4. Cancellations and Refunds
4.1 Holiday Clubs:
Bookings can be cancelled or altered up to four weeks before the session for a full refund.
Between four weeks and one week before the session, a credit note will be issued (valid for one year).
Cancellations within seven days of the session are non-refundable.
If a child is unwell and cannot attend, fees are still payable.
4.2 Birthday Parties:
Deposits are non-refundable but transferable with at least two weeks’ notice.
In the case of extreme weather, we will work with you to reschedule at a mutually convenient time.
4.3 Extreme Weather & Unforeseen Circumstances:
Holiday clubs run in all weather conditions.
In the unlikely event of dangerous weather, an alternative indoor venue may be provided, or a credit note issued.
Refunds will not be given for cancellations due to circumstances beyond our control (e.g., severe weather, public health restrictions, acts of God).

5. Attendance and Late Collection
5.1 Parents/guardians must ensure children arrive on time and are collected promptly at the end of each session.
 5.2 Only authorised adults (as listed on the booking form) can collect children.
 5.3 If someone else will be collecting your child, written permission must be provided in advance.
 5.4 A late collection fee of £5 per 15 minutes will apply if a child is not collected on time.

6. Child Welfare and Safety
6.1 Go Wild Workshops follows all safeguarding guidelines, and all staff hold enhanced DBS checks.
 6.2 Any medical conditions, allergies, or additional needs must be disclosed at the time of booking.
 6.3 If a child becomes unwell, they must be collected promptly.
 6.4 In case of a medical emergency, we will administer first aid and contact parents/guardians immediately.

7. Behaviour Policy
7.1 Children must behave respectfully towards staff, other children, and the environment.
 7.2 Bullying, aggressive behaviour, or misconduct will not be tolerated.
 7.3 If a child’s behaviour is disruptive, they may be removed from the session without a refund.

8. Food and Allergies
8.1 Parents must provide a packed lunch and snacks unless otherwise specified.
 8.2 We operate a strict nut-free policy due to allergy risks.
 8.3 Dietary requirements must be communicated at the time of booking.

9. Personal Belongings & Lost Property
9.1 Go Wild Workshops is not responsible for lost, stolen, or damaged belongings.
 9.2 All lost property will be kept for one week and then donated to charity.
 9.3 Children should wear appropriate outdoor clothing (e.g., waterproofs, sturdy footwear).

10. Photography and Media
10.1 We may take photographs/videos for promotional purposes.
 10.2 Parental consent will be obtained before images are used.
 10.3 If you do not want your child to be included, please inform us during the booking process.

11. Data Protection
11.1 All personal data is handled in accordance with UK GDPR and the Data Protection Act 2018.
 11.2 We only use personal information for booking, safety, and communication purposes.

12. Complaints Policy
12.1 If you have concerns, please speak to a member of staff promptly.
 12.2 Formal complaints must be submitted in writing to [insert contact email].
 12.3 We will acknowledge complaints within 5 working days and aim to resolve them within 14 working days.

13. Credit Notes
13.1 Any issued credit notes are valid for one year from the date of issue.

14. Amendments to Terms and Conditions
14.1 Go Wild Workshops reserves the right to update these terms and conditions.
 14.2 Any significant changes will be communicated in advance.
