Effective from the date of booking and applicable to all Go Wild Workshops sessions from that date onwards.
1. Introduction
1.1 These Terms and Conditions govern participation in Go Wild Workshops holiday clubs and birthday parties.
1.2 By booking a place for your child, you agree to these Terms and Conditions.
1.3 Go Wild Workshops operates in accordance with UK government guidelines for children’s holiday clubs.
2. Registration
2.1 Parents/carers must complete a registration form at the time of booking, providing accurate contact details and relevant medical information.
2.2 It is the responsibility of the parent/carer to inform Go Wild Workshops of any changes to contact details or a child’s needs.
3. Bookings and Payments
3.1 Holiday Clubs: All sessions must be booked in advance. Places are only guaranteed once full payment has been received.
3.2 Birthday Parties: A £50 non-refundable deposit is required to secure a booking. The remaining balance must be paid at least two weeks before the party date.
3.3 Telephone bookings (excluding birthday parties) will incur a £2.50 administration fee.
4. Cancellations and Refunds
4.1 Holiday Clubs
4.1.1 Cancellations or changes up to four weeks before the session receive a full refund.
4.1.2 Between four weeks and one week before, a credit note will be issued (valid for one year).
4.1.3 Cancellations within seven days of the session are non-refundable.
4.1.4 No refunds are given for illness-related absences.
4.2 Birthday Parties
4.2.1 Deposits are non-refundable but transferable with at least two weeks’ notice.
4.2.2 In cases of extreme weather, we will work with you to reschedule at a mutually convenient time.
4.3 Extreme Weather & Unforeseen Circumstances
4.3.1 Holiday clubs operate in all weather conditions.
4.3.2 In the unlikely event of unsafe conditions, an alternative indoor venue may be provided or a credit note issued.
4.3.3 Refunds are not available for cancellations due to circumstances beyond our control (e.g. severe weather, public health restrictions.)
5. Attendance and Late Collection
5.1 Children must arrive on time and be collected promptly at the end of each session.
5.2 A late collection fee of £10 per 15 minutes will apply.
5.3 Only authorised adults listed on the booking form may collect children.
5.4 Permission must be provided in advance if someone else is collecting your child.
6. Child Welfare and Safety6.1 Go Wild Workshops follows safeguarding guidelines and all staff hold enhanced DBS checks.
6.2 Medical conditions, allergies, and additional needs must be disclosed at the time of booking.
6.3 If a child becomes unwell, parents/carers must collect them promptly.
6.4 In the event of a medical emergency, first aid will be administered and parents/carers contacted immediately.
7. Behaviour Policy
7.1 Children must behave respectfully towards staff, other children, and the environment.
7.2 Bullying, aggression, or inappropriate behaviour will not be tolerated.
7.3 Children may be removed from sessions for disruptive behaviour, without refund.
8. Food and Allergies
8.1 Children must bring a packed lunch and snacks unless otherwise stated.
8.2 We operate a strict nut-free policy.
8.3 Dietary requirements must be communicated at the time of booking.
9. Personal Belongings & Lost Property
9.1 Go Wild Workshops accepts no responsibility for lost, stolen, or damaged items.
9.2 Lost property will be kept for one week before being donated to charity.
9.3 Children should wear suitable outdoor clothing, including waterproofs and sturdy footwear.
10. Photography and Media
10.1 Photographs and videos may be taken for promotional purposes.
10.2 Parental consent will be obtained before any images are used.
10.3 If you do not wish your child to be included, please inform us during booking.
11. Data Protection
11.1 Personal data is handled in accordance with UK GDPR and the Data Protection Act 2018.
11.2 Information is used solely for booking, safety, and communication purposes.
12. Complaints Policy
12.1 Any concerns should be raised promptly with a member of staff.
12.2 Formal complaints must be submitted in writing to [email protected].
12.3 Complaints will be acknowledged within five working days and resolved within fourteen working days where possible.
13. Credit Notes
13.1 All credit notes are valid for 12 months from the date of issue.
14. Amendments
14.1 Go Wild Workshops reserves the right to amend these Terms and Conditions at any time.
14.2 Significant changes will be communicated in advance where possible.
